Offers - Actions
In the "Offers" section of AbaNinja, you have numerous actions available to efficiently manage and process your offers. Below is an overview of the most important actions and their benefits:
- Edit: Opens the offer for editing. You can change the contents, positions, or conditions as long as the offer is in the "Draft" status.
- Mark as accepted: Sets the status of the offer to "Accepted" when the customer has agreed. This can be done manually if the acceptance did not occur through the customer portal.
- Mark as rejected: Sets the status to "Rejected" if the customer does not want to accept the offer.
- Send as email: Sends the offer directly by email to the customer. The offer then receives the status "Sent".
- Mark as sent: Marks the offer as sent without actually sending an email (e.g. for mailing).
- Print: Creates a printable version of the offer.
- Download as PDF: Downloads the offer as a PDF file to save it locally or send it elsewhere.
- Duplicate: Creates a copy of the offer, ideal for similar offers to other customers or for recurring offers.
- Convert offer to order: Converts the offer to an order once the customer has accepted the offer. The status of the offer changes accordingly.
- Convert offer to invoice: Directly converts the offer to an invoice if no separate order confirmation is necessary.
- Convert to template: Saves the offer as a template to reuse it for future offers.
- Show activities: Shows all activities and status changes for the offer to transparently track the history.
- Cancel: Sets the offer back to draft status if it has already been sent and needs to be edited again.
- Permanently cancel: Permanently revokes the offer so that no further editing or conversion is possible.
- Archive: Moves the offer to the archive to keep an overview. Archived offers can be restored at any time.
- Restore: Restores an archived offer so that it can be edited or processed again.
- Delete: Permanently removes the offer if it is in draft status and the first draft. Already sent or processed offers cannot be deleted, but only canceled and archived.
Notes and tips
- Offers can only be edited or deleted while they are in draft status. After sending or changing status, the offer must first be canceled to be edited again.
- Use the "duplicate" or "convert to template" function to create recurring offers faster.
- In the customer portal, the customer can directly accept or reject the offer. Enable corresponding notifications to be informed immediately.
- Archive offers that are no longer needed to keep your overview list up to date. Archived offers still count towards your document limit of your subscription.
- A permanent deletion is only possible for drafts, for already processed offers it is recommended to cancel and then archive.
