Create a credit note
Overview - Creation
To record a new credit note, go to "Customers" in the menu and select the "Credit notes" section. Click on "New credit note" to open the input mask. Here you can enter all relevant information for the credit note. Alternatively, a credit note can also be created directly from an existing invoice (action: "Convert invoice to credit note").
Heading
In the heading, select the relevant customer. The customer data will be automatically taken over, but can be adjusted if necessary. In addition, you can enter the credit note date, a reference or a subject. The currency and language can also be defined here.
Items (products)
Under "Items", add the products or services for which a credit note is to be created. You can select existing items from your catalogue or manually enter items. Each item can be supplemented with quantity, price and description. The order of the items can be adjusted by drag & drop.
Public notes, conditions and footer
In the lower part of the credit note, you can add public notes, special conditions or notes for the customer. These information will appear directly on the credit note document. In the footer, you can enter individual greetings or further notes. Standard texts can be predefined in the settings and adjusted if necessary.
Comments (only after saving)
After the credit note has been saved, the "Comments" section is available. Here you can enter internal notes or feedback that are only visible to you and your team.
Actions and status
After saving, various actions are available to you, such as downloading the credit note as a PDF, sending it by e-mail or printing it. The status of the credit note (e.g. "Draft", "Sent", "Completed") is displayed and can be adjusted as required. Credit notes are automatically booked when sent. You can also offset credit notes with open invoices, provided both concern the same customer and are not in the "Draft" status.
Notes and tips
- You can always save a credit note as a draft and continue working on it later.
- Use the option to create credit notes directly from invoices to avoid errors and save time.
- Use the search function in the "Credit notes" section to quickly find the desired document.
- The "Offset" function allows you to offset open credit notes directly with invoices - this is treated as a payment and automatically booked.
- Check all details carefully before sending, as the accounting is automatically managed in the background.
- Comments are for internal communication and are not visible to the customer.
