Attach documents
You can add any customer invoice with documents attached. Allowed file formats are PNG, JPEG/JPG and GIF image files, as well as PDF documents, with a maximum file size of 5 MB per file.
Below the items on the invoice mask, you will find the "Upload Documents" section with a gray-shaded upload area.
You can either drag and drop files into the upload area or click on the upload area and select the files from your computer.
It is not possible to define a document by default and have it automatically added to every document.
Benefits for you as a user
- By attaching documents, you ensure that all relevant information about an invoice is fully and centrally stored.
- Your customers receive all necessary documents (e.g. contract, terms and conditions, representations) together with the invoice, which reduces inquiries and increases traceability.
- From an accounting perspective, this makes it easier to check later, as justifications, calculation bases, or agreements are directly stored with the corresponding document.
- You also benefit internally, as employees can always view the additional documents belonging to the invoice without having to search through other storage locations.
Hints and tips
- Keep individual files under 5 MB, for example by compressing PDFs or reducing large images, so that the upload runs smoothly.
- Use PDF for multi-page documents such as terms and conditions, contracts, or extensive offers, as this format is displayed stably and archived well.
- If the upload does not work, first check the file format (only PNG, JPEG/JPG, GIF or PDF) and the file size.
- Use attachments consciously to add additional information to your invoices, such as detailed performance records or project reports, and increase transparency towards your customers.
