Manually import invoices

With the Import invoices function in the customer invoices section, you can directly upload PDF invoices that were created outside of AbaNinja into your system. Simply drag and drop the desired PDF document into the designated field or select it via the file dialog. The system automatically reads the most important information such as address, invoice number, amounts, VAT, and payment information from the PDF and transfers this into the input mask.

Benefits

This function saves you a lot of time as you do not have to manually enter invoices. You can also manage, send, and post invoices that you have received from other systems or external service providers centrally in AbaNinja. The imported invoices appear like all other invoices in your overview and can be further processed or sent directly to your customers.

Process and tips

• Upload the PDF of the invoice.
• The system automatically recognizes the most important data and suggests suitable addresses from your address book. If there are several possible addresses, you can select the correct one or create a new address.
• The invoice number is taken from the PDF but can be removed if you prefer to use the internal numbering of AbaNinja.
• The positions are taken over as postings, not as products. You can adjust these if necessary.
• If payment information (e.g. a payment slip) is included in the PDF, this is also taken over. Check whether the recognized payment data match the information on the payment slip so that a later automatic assignment of payments is possible.
• After the import, you can save, send, cancel, or post the invoice as usual.

Tips

• The quality of the PDF affects how many data are automatically recognized. After the import, always check the information that has been taken over and add any missing information.
• Use this function to efficiently integrate invoices from other systems into AbaNinja.
• Imported invoices cannot be combined into collective invoices.
• For import by email (automatic invoice import), you need a paid subscription.
• If the invoice does not yet have a QR code (recognized QR reference), AbaNinja can attach a QR code to your invoice.
