Orders - Actions

In the "Orders" section of AbaNinja, you have numerous actions available to you to manage and process your orders flexibly.

Below is an overview of the most important actions and their benefits:

  • Edit: Opens the order for editing. You can change the contents, positions, or conditions as long as the order is in the "Draft" status.
  • Mark as sent: Sets the status of the order to "Sent", for example, if you have sent the order by mail or externally.
  • Print: Creates a printable version of the order.
  • Download as PDF: Downloads the order as a PDF file to save locally or share.
  • Duplicate: Creates a copy of the order, ideal for similar orders to other customers or for recurring orders.
  • Convert to delivery note: Converts the order directly into a delivery note as soon as the delivery should take place.
  • Convert to invoice: Converts the order directly into an invoice when the billing should take place.
  • Convert to template: Saves the order as a template to reuse for future orders.
  • Create installment invoice: Creates an installment invoice based on the order if the customer should pay in several partial payments.
  • Create down payment invoice: Creates a down payment invoice (prepayment invoice) based on the order.
  • Create partial invoice: Creates a partial invoice if only part of the order should be billed.
  • Create final invoice: Creates a final invoice after all partial or down payment invoices have been created.
  • Show activities: Shows all activities and status changes to the order to transparently track the progress.
  • Archive: Moves the order to the archive to keep an overview. Archived orders can be restored at any time.
  • Restore: Restores an archived job so that it can be edited or further processed.
  • Cancel: Sets the job back to draft status if it has already been sent and needs to be edited again.
  • Permanently cancel: Cancels the job permanently so that no further editing or conversion is possible.
  • Delete: Permanently removes the job if it is in draft status and is the first draft. Already sent or further processed jobs cannot be deleted, but only cancelled and archived.

Notes and tips

  • Jobs can only be edited or deleted while they are in draft status. After sending or status change, the job must first be cancelled to be edited again.
  • Use the "Duplicate" or "Convert to template" functions to quickly create recurring jobs.
  • Partial, down payment, and installment invoices can only be created if a job is present as a basis.
  • Archive jobs that are no longer needed to keep your overview list up to date. Archived jobs still count towards your document limit for your subscription.
  • Permanent deletion is only possible for drafts. For already further processed jobs, it is recommended to cancel and then archive.
