When creating an AbaNinja account with Switzerland as the country, a chart of accounts is automatically created based on the official Swiss SME chart of accounts. AbaNinja uses a subset of the most important and most used accounts. This standard SME chart of accounts can be replaced with a flexible chart of accounts in JSON format or manually built.
It is also now possible to migrate from a fixed SME chart of accounts to a flexible chart of accounts structure, even if there are already entries in the AbaNinja account.
Requirements
The following requirements apply for importing or manually creating a flexible JSON chart of accounts:
- A paid subscription is required.
- There must be no active Abacus connection.
- The imported or manually created chart of accounts must be based on the SME chart of accounts.
- When using the classic import, there must be no entries in the AbaNinja account.
Importing a JSON chart of accounts
The JSON chart of accounts can be imported under Settings > Accounting > Chart of Accounts. First, the standard SME chart of accounts must be replaced. Then, a chart of accounts in JSON format can be imported via Chart of Accounts import (JSON). Alternatively, a predefined AbaNinja chart of accounts can be selected or the chart of accounts can be created completely manually.
It is important that the JSON file corresponds to the format specified by Swiss21. Not every JSON file can be imported. Swiss21 provides a template for the JSON chart of accounts.
Migration to flexible chart of accounts structure with existing entries
It is now possible to migrate from a fixed SME chart of accounts to a flexible chart of accounts structure, even if there are already entries in the AbaNinja account.
The function is available as a beta in the 3-point menu of the chart of accounts. It is aimed at advanced users and is chargeable.
Attention: After the migration, the account assignments must be generated and configured again. Only then can automatic posting work correctly again.
Suggestions for accounts and account assignments after import or migration
When importing a JSON chart of accounts, existing suggestions for accounts are deleted. These must then be generated again or manually recorded. AbaNinja can only be fully used when all suggestions for accounts are defined. When generating, the system tries to find suitable standard suggestions for accounts in the new chart of accounts. Incomplete suggestions for accounts must be manually assigned to an account.
The same applies in principle after migrating to a flexible chart of accounts structure: The account assignments must be checked, generated and, if necessary, manually supplemented so that automatic postings can be processed correctly.
Updating the chart of accounts
If a chart of accounts has already been imported in JSON format, it can be updated later with another JSON chart of accounts. This is done under Settings > Accounting > Chart of Accounts via the action menu. The prerequisite is that all accounts that have already been booked are also included in the new chart of accounts. In addition, levels and accounts can be created manually.
Common error sources
- The JSON file cannot be imported: Check whether the file corresponds to the official Swiss21 format. A random JSON file or an export from a third-party system cannot be automatically imported.
- The classic import is not available: Check whether a paid subscription is active, there is no Abacus connection and there are no entries yet. If there are existing entries, the new beta migration must be checked instead.
- After import or migration, automatic postings do not work correctly: Check the suggestions for accounts and account assignments. These must be generated and correctly configured after an import or migration.
- The update is blocked: Make sure that all accounts that have already been booked are also included in the new JSON chart of accounts.
