Manual
In AbaNinja, a flexible chart of accounts can be imported not only via a JSON file, but also completely manually created. You can set up the required levels and accounts yourself and build the structure of your chart of accounts individually.
This variant is suitable if there is no ready-made JSON chart of accounts or if the chart of accounts is to be built up step by step directly in AbaNinja.
Requirements
For a chart of accounts to be manually created, the following requirements must be met:
A paid subscription is required.
There must be no bookings in the AbaNinja account.
There must be no active Abacus connection.
The chart of accounts must be based on the Swiss SME chart of accounts.
Manually create chart of accounts
- Open the Accounting > Chart of Accounts section in AbaNinja.
- Replace the existing standard SME chart of accounts.
- Select the option to manually create the chart of accounts.
- First, record the desired levels.
- Then, set up the required accounts within the appropriate levels.
- Check the structure of the chart of accounts for completeness.
- Then generate or configure the necessary account suggestions/account assignments.
Create levels
The levels form the structure of the chart of accounts. They serve as a classification and help to correctly classify the accounts.
Examples of typical levels are:
- Assets
- Liabilities
- Expenses
- Income
- Cash
- Receivables
- Payables
Make sure the levels are logically structured and comply with the SME chart of accounts.
Create accounts
After the levels have been set up, the individual accounts can be created. For each account, information such as account number, name, category, currency or tax relevance is recorded, depending on the structure.
Examples of typical accounts are:
- 1000 Cash
- 1020 Bank
- 1100 Receivables from sales and services
- 2000 Liabilities from sales and services
- 3000 Income from services
- 4000 Material expenses
The accounts should be fully and correctly recorded so that accounting, evaluations and automatic postings work correctly later.
Account suggestions and account assignments
After the manual creation, the account suggestions or account assignments must be checked and set up. These assignments are important so that AbaNinja can automatically assign business cases to the correct account.
Without complete account assignments, automatic postings, invoices, payments or tax postings can be processed incorrectly or incompletely.
