Foreign currency supplier invoices

With AbaNinja, you can easily import supplier invoices (e.g. invoices) in foreign currencies such as EUR or USD. This feature is particularly useful when working with international suppliers and receiving invoices not in CHF, but in another currency.

How the import works

  • Navigate to Suppliers > Supplier invoices in the menu.
  • Click on Capture supplier invoice.
  • Upload the corresponding document (e.g. PDF, PNG, JPG) via drag & drop or by clicking on the field "Upload documents".
  • After uploading, the system automatically reads the most important data such as address, invoice date, amount, currency and payment information.
  • Make sure that the correct foreign currency is recognized in the invoice (e.g. EUR). This information is automatically taken over, but can be manually adjusted if necessary.
  • Check the proposed positions, allocation and VAT rates. For foreign currency invoices, the current exchange rate is automatically taken over from the settings, if you have activated the automatic exchange rates.
  • Add or correct the data as needed (e.g. expense account, tax rate, booking text).
  • Save the invoice. Optionally, you can jump directly to the payment output after approval to record the transfer in the correct currency.

  • The exchange rate is automatically pulled and the conversion to your accounting is taken over.
  • You avoid errors through manual conversion and save time when recording.
  • Foreign currency invoices are correctly booked in the accounting and taken into account in the evaluations.

Notes and tips

  • The exchange rates used can be viewed under Settings > Accounting > Currency and manually adjusted if necessary.
  • Make sure that the correct bank account for the respective currency is stored. Payments in foreign currency should always be processed via a corresponding foreign currency account to correctly book exchange rate differences.
  • If you receive invoices in several currencies from the same supplier, it is recommended to record a separate address/supplier for each currency in AbaNinja, as the currency is defined per address.
  • Exchange rate differences that arise when paying are automatically balanced and booked when closing the financial year. You will find a separate function for this under Accounting > Close financial year.
  • Use the automatic bank connection to transmit payments in foreign currencies directly from AbaNinja to your e-banking and automatically reconcile incoming/outgoing payments.

Tip: After importing, always check whether all data has been correctly taken over - especially currency, amount and exchange rate. If in doubt, the support will be happy to help you.
