Delivery note - actions
In the "Customers - Delivery notes" section of AbaNinja, you have numerous actions available to efficiently manage your delivery notes. You can perform the following steps directly on the respective delivery note via the action menu (3 points):
- Edit: Open the delivery note for adjustments to the contents, as long as it has not yet been marked as sent.
- Mark as sent: Set the status of the delivery note to "Sent" to document the shipment internally.
- Print: Print the delivery note directly, e.g. for inclusion with the delivery or for filing.
- Download as PDF: Download the delivery note as a PDF file to archive it digitally or forward it.
- Show activities: View the history and all actions performed on the delivery note.
- Duplicate: Create an identical copy of the delivery note to quickly process similar transactions.
- Convert to template: Save the delivery note as a template to reuse it for future deliveries.
- Convert to invoice: Convert the delivery note with a few clicks into an invoice to start the billing process.
- Archive: Move the delivery note to the archive if it is completed but still needs to be available for proof.
- Restore: Restore an archived delivery note if it is needed again.
- Cancel: Reset the delivery note if it is incorrect or no longer needed.
- Cancel permanently: Mark the delivery note as permanently cancelled so that no further edits are possible.
- Delete: Permanently remove the delivery note if it is still in draft status and there are no further dependencies.
Hints and tips
- Delivery notes can only be deleted if they are still in draft status and have no further relations (e.g. links to other documents). Otherwise, we recommend cancelling and archiving the delivery note.
- The "Convert to invoice" function makes invoicing easier as all relevant data is directly taken over.
- With "Duplicate" and "Convert to template", you save time on recurring deliveries.
- Archived delivery notes still count towards your document limit on your account. Therefore, regularly check which documents you really need to keep.
- With "Show activities", you always have an overview of who made what changes when – ideal for internal traceability and in case of queries.
