Edit payments
In the "Finances > Payments" section of AbaNinja, you can manage all incoming and outgoing payments. You can edit payments to adjust the payment type, the currency date, the bank account, or other payment details. Editing is especially necessary when payments are manually recorded, imported payments cannot be automatically assigned (status "To be processed"), or when payment information changes later.
How to edit a payment
- Navigate to Finances > Payments.
- Search for the desired payment in the list (you can filter by status, such as "Open", "To be processed", "Done", etc.).
- Click on the payment you want to edit. The detail view will open.
- Adjust the desired fields:
- Payment type: Can be changed, except for manually or automatically imported payments. Select from the predefined payment types such as cash, bank transfer, credit card, etc.
- Bank account: For bank transfers, you can adjust the debit account and, if applicable, the payout account. The selection is made from the bank accounts stored under "Finances > Banking".
- Reference line: For payments with deposit slips (ESR/QR), the reference line is automatically taken over, but can also be manually adjusted.
- Currency date: Can generally be changed, except for imported payments.
- Message: For IBAN payments, there is a field for messages.
- Other fields: Depending on the payment type and status, other fields are available, such as booking text, tax rate, or counter account (for manual booking).
- Save the changes.
Benefits
- You can correctly assign payments to the corresponding vouchers and thus ensure a clean accounting.
- Wrong or incomplete payment information can be easily corrected.
- By editing payments with the status "To be processed", you can quickly offset open items and clarify discrepancies.
- In addition, for incoming payments, there is the option to send a payment confirmation by e-mail to your customers.
Hints and tips
- The currency of a payment cannot be changed later. If a payment has been recorded in the wrong currency, it must be deleted and re-entered.
- Payments in the status "To be processed" can be deleted or archived if they are no longer needed.
- Use the "Manual booking" function if a payment cannot be assigned to a voucher (e.g. bank charges, cash withdrawals).
- With bank connection, payment orders can be sent directly to e-banking or exported as a PAIN file. Exported payments are automatically marked as "Done".
- After editing a payment, check if the status is set correctly (e.g. "Done" after successful booking).
- If in doubt, it is recommended to archive payments first instead of deleting them permanently.
- Use the search and filter function in the payment overview to quickly find and edit the desired payments.
