Manually record payments
In the "Finances" section of AbaNinja, you can record and manage all incoming payments (e.g. customer payments) and outgoing payments (e.g. supplier payments, expenses, bank fees). In addition to automatic bank reconciliation, you can manually record payments - ideal if there is no bank connection or special business transactions need to be recorded.
Manually record incoming payments
- Navigate to Finances > Payments.
- Click on New incoming payment.
- Select (if available) the appropriate voucher.
- Enter the relevant payment details:
- Payment date
- Payment type (e.g. cash, bank, credit card)
- Amount and currency
- Add a booking text or upload a voucher (e.g. receipt) if necessary.
- Save the booking. The payment will be automatically posted in the accounting and the status of the associated invoice will be updated.
Manually record outgoing payments
- Go to Finances > Payments.
- Select New outgoing payment.
- Select (if available) the supplier voucher of the payee.
- Enter the payment details:
- Payment date
- Payment type (e.g. transfer, cash)
- Amount and currency
- Add a booking text or voucher if necessary.
- Save the booking. The payment will be posted in the accounting and the status of the supplier invoice will be adjusted accordingly.
Benefits
- You always have an overview of all incoming and outgoing payments.
- Open invoices are automatically offset by assignment.
- Special cases such as cash payments, expenses, partial payments or discounts can also be easily recorded.
- The accounting always remains up-to-date and correct, even without automatic bank connection.
Hints and tips
Payments that cannot be assigned to a voucher (e.g. bank fees) can also be recorded manually and directly assigned to an accounting account.
Use the search and filter functions to quickly find payments or sort them by status (e.g. open, done, to be processed).
If in doubt, it is recommended to enter a short booking text to ensure traceability.
Manual bookings can be reversed if an error has occurred - the reversal will be automatically correctly offset.
For advanced cases (e.g. split bookings, foreign currencies), the manual booking mask in the journal is available.
If you regularly record similar manual payments, you can define favorite accounts to speed up the booking process.
