How do I create a new employee?

In the "Employees" section of the time tracking, you can manage all employees of your company and create new employees. This is necessary so that working hours and performance can be accurately recorded and evaluated.

To create a new employee

  1. Click on "Add employee".
  2. A capture form opens where you can enter the relevant data:
    1. Linked user: If the employee already exists as a user in the Swiss21 portal, you can link here (optional). (How to add a user can be found under: Benutzer hinzufügen.)
    2. Address: Select or enter the employee's address.
    3. First name, last name: Mandatory fields for the personnel file.
    4. Date of birth: Important for personnel management.
    5. Employee number: Automatically assigned, but can also be manually adjusted.
    6. Employee group: Assign the employee to a group (e.g. standard, part-time, etc.).
    7. Start date: From when the employee is active in the company.
    8. Time calculation from: From what date the time tracking for this employee should start.
  3. Optionally, additional fields such as payroll type, internal hourly rate or employment rate can be added.
  4. Finally, click on "Create" to save the employee.

Benefits

  • By structurally capturing employee data, you ensure that all relevant information for time tracking and evaluations is complete.
  • Only correctly created employees can be selected in time tracking (In/Out, services) and their times reported.
  • Assigning to employee groups allows for differentiated evaluations and the application of specific work time models.

Tips and hints

  • You can assign individual work time models and additional work time models per employee to account for special rules for holidays or surcharges, for example.
  • Through the employee list, you always have an overview of active and inactive employees. Inactive employees can be archived and restored if needed.
  • Use the search and filter function to quickly find certain employees.
  • Linking to a user is only necessary if the employee needs access to the system (e.g. for time tracking via app).
  • Make sure that the employee number is unique to avoid confusion.
  • For larger companies, it is recommended to use employee groups for better organization.
